How to create an invoice manually?
  1. Go to Invoices from the menu
  2. Click the + New invoice button
  3. Select or create a debtor
  4. Fill in: reference, total amount, due date
  5. Save the invoice

Tip: The debtor will be created automatically if you enter a new email.

How to import invoices from Excel/CSV?
  1. Go to Invoices > Import
  2. Select your Excel (.xlsx) or CSV file
  3. nudgi automatically detects the columns
  4. Check the field mapping
  5. Preview the data and validate the import

Automatically recognized columns:

  • Invoice number/Reference
  • Amount (Total, Net, VAT)
  • Invoice date and due date
  • Client name/Email
  • Company ID, address, phone
How to import PDF invoices with AI?

AI Feature: nudgi uses Claude Vision to automatically extract data from your PDF invoices.

  1. Go to Invoices > Import PDF
  2. Drop your PDF files (up to 10 at once)
  3. AI analyzes and extracts: reference, amount, dates, client details
  4. Review the extracted data and validate

Automatically extracted data:

  • Invoice number
  • Total/Net amount
  • Issue date
  • Due date
  • Client name
  • Email/Phone
  • Company ID
  • Address
What are the invoice statuses?
Pending — Invoice in progress, not yet due or overdue
Partially paid — A partial payment has been received
Paid — Invoice settled, removed from reminder cycle

How to attach a PDF to an existing invoice?

You can attach a PDF file to any existing invoice:

  1. Go to Invoices from the menu
  2. Click on Attach PDFs
  3. Drag and drop your PDF files (automatic matching by invoice reference)
  4. Confirm the detected associations

Tip: The PDF file name is compared to your invoice references for automatic matching.

How to send a reminder with the PDF invoice attached?

When a PDF is attached to an invoice, it is automatically included in reminders:

  1. Attach a PDF to the invoice (manual upload or AI import)
  2. When sending the reminder, the PDF is automatically added as an attachment
  3. The debtor receives the email with the PDF invoice attached

Important: All plans (including Free) allow sending PDF attachments in reminders.

What is the difference between AI and storage quotas?
File storage quota
  • Total number of stored PDFs
  • No monthly reset
  • Free up space by deleting files
AI import quota
  • Number of PDF imports with AI extraction
  • Reset every month
  • Manual upload does not consume this quota

Important: An AI import consumes both quotas (1 storage + 1 AI import). A manual upload only consumes the storage quota.

How to manage files in the Files module?

The Files module (accessible from the menu) centralizes all your PDFs:

  • View: Open the PDF directly in the browser
  • Download: Save the PDF to your computer
  • Delete: Remove the file from storage (frees quota)
  • Search: Filter by invoice reference or debtor name

Debtor management

How to add a debtor?

Go to Debtors > Add. Fill in:

  • Required: Name or company name, email address
  • Recommended: Phone, Company ID, VAT number
  • Optional: Full address, internal notes

Good to know: Debtors are created automatically when importing invoices if the email doesn't exist yet.

What does the debtor profile contain?

The debtor profile centralizes all information:

  • Contact details: Name, email, phone, address
  • Identifiers: Company ID, VAT number
  • Invoices: Complete list with statuses and amounts
  • History: All reminders sent with dates
  • Notes: Internal comments (not visible to the client)
How to exclude a debtor from reminders?

Several options are available:

  • Temporary pause: Suspend reminders for a given period
  • Exclusion: Permanently exclude the debtor from automatic reminders
  • Per invoice: Set a specific invoice to "Disputed" or "Cancelled"

Access these options from the debtor profile or directly from the invoice list.

How do reminder sequences work?

A sequence is a series of automated reminders with progressive escalation:

R0 Step 1: Friendly reminder email (D+3 after due date)
R1 Step 2: Firm reminder email (D+7)
R2 Step 3: Final reminder before action (D+14)
R3 Step 4: Formal notice (D+30)

You can customize the delays and content of each step in Settings > Sequences.

How to customize reminder templates?

Go to Templates from the menu. The WYSIWYG editor allows you to:

  • Customize text and formatting
  • Insert dynamic variables
  • Preview the result in real time

Available variables:

Do clients know it's automated?

No, your clients don't know the reminders are automated.

  • Emails are sent with your name and email address
  • Your custom signature appears at the bottom of each message
  • Your clients think you're personally following up

Pro Plan: Option to completely hide the "Sent via nudgi" mention at the bottom of emails (white label).

How to send a reminder manually?
  1. From the invoice list, select the invoices to remind
  2. Click Send reminder
  3. Choose the template and preview
  4. Send immediately or schedule the sending

Grouped sending: If a debtor has multiple overdue invoices, they are grouped into a single email with a summary table.

Payment tracking

How to record a payment?
  1. Open the relevant invoice
  2. Click Record a payment
  3. Enter the amount received and date
  4. Select the payment method

Supported payment methods:

How to manage partial payments?

nudgi natively handles partial payments (deposits):

  • Record the amount received (even partial)
  • The invoice automatically moves to "Partially paid" status
  • The remaining balance is calculated automatically
  • Reminders continue for the remaining balance
How to enable online payment (Stripe)?

Pro Plan only — Allow your debtors to pay directly by credit card.

  1. Go to Settings > Payments
  2. Click Connect Stripe
  3. Follow the Stripe Connect onboarding process
  4. Once connected, a "Pay" button appears in your reminder emails

Received payments are automatically recorded and the invoice moves to "Paid".

How to export payments for accounting?

Go to Settings > Accounting to export your data.

Available export formats:

  • Generic CSV — Compatible with all software
  • Pennylane format — Direct import into Pennylane
  • FEC format (Sage) — Accounting Entries File

How to connect an accounting integration?
  1. Go to Settings > Integrations
  2. Click Connect for the desired integration
  3. Authorize access to your account (OAuth for Pennylane/Sellsy, API Key for Axonaut)
  4. Launch the initial sync

Invoices are then synced automatically.

Security

How to enable two-factor authentication (2FA)?
  1. Go to Settings > Security
  2. Click Enable two-factor authentication
  3. Scan the QR code with your authenticator app (Google Authenticator, Authy, 1Password...)
  4. Enter the 6-digit code to confirm
  5. Save your recovery codes in a safe place

Important: Recovery codes allow you to access your account if you lose your phone. Keep them safe!

How to log in with Google or Microsoft?

nudgi supports OAuth login with:

  • Google — Personal Google account or Google Workspace
  • Microsoft — Personal Microsoft account or Microsoft 365

On the login page, simply click the desired provider button. Your nudgi account will be automatically linked.

I lost my phone, how to access my account?

Option 1 : Use a recovery code

On the 2FA login page, click "Use a recovery code" and enter one of your codes.

Option 2 : Request a code by email

Click "Send a code by email". A temporary code will be sent to your email address.

Option 3 : Contact support

If no option works, contact our support with proof of identity.

How to change plans?
  1. Go to Settings > Subscription
  2. Click Change plan
  3. Select the new plan
  4. Confirm the change

Upgrade: The change is immediate, you are billed pro-rata.

Downgrade: The change takes effect at the end of the current billing period.

How to cancel my subscription?
  1. Go to Settings > Subscription
  2. Click Cancel subscription
  3. Confirm the cancellation

No cancellation fees. Your subscription remains active until the end of the paid period. Your data remains accessible for 30 days after expiration.

Where to find my nudgi invoices?

All your invoices are available in Settings > Subscription > Invoice history.

You can download each invoice in PDF format. Invoices are also sent by email at each renewal.
